WEDDING CAKE TERMS & CONDITIONS – ESSBAKES
 

Thank you for your interest in booking your special cake with Essbakes, all orders are handled with care and passion and by reading and agreeing to these terms and conditions, it allows for yourself to have a similar understanding of how ordering with us works.  


Term A: Booking Fee, Notice & Payments 
 

To secure your wedding date, clients may choose one of the following payment options:

 

Option 1) A non-refundable 30% booking fee, with the remaining 70% balance due no later than two weeks before the wedding date.

Option 2) A 50% deposit, with the remaining 50% balance due no later than two weeks before the wedding date.

 

Once a date is secured, EssBakes reserves the date exclusively for your order and may decline other bookings for that period.

 

Due to limited availability, wedding cake bookings are recommended 6–9 months in advance.
Short-notice bookings may be accommodated subject to availability.

 

Full payment is required upfront for wedding cake orders placed within 4 weeks of the wedding date.


All payments must be made via bank transfer or secure payment links provided by EssBakes.

Term A.1 Final Balance 

Final balances must be paid no later than two weeks before the wedding date, unless otherwise agreed in writing.

 

All payment deadlines are calculated in business days (Monday to Friday).

 

Payments must be made by the stated due date regardless of weekends or bank holidays.

 

A final payment reminder and payment link will be sent prior to the due date.

Term A.2 Late or Non-Payment 

Payments are considered late if not received at least 5 days before the due date, in this event the secondary contact will be informed 

Late or unpaid balances may result in cancellation of the order, with all payments made being non-refundable. 

Clients will be notified prior to cancellation where possible. 

Term B: Client Cancellations, Date Changes and refunds  
 

Cancellations made more than eight (8) weeks before the wedding date will forfeit the booking fee only.  

Cancellations made within six weeks of the wedding date will forfeit the booking fee, alongside non-refundable final payment, as preparation will have commenced. 

 

These terms apply regardless of the reason for cancellation, including relationship breakdowns, illness, funerals, or unforeseen circumstances. 

Requests to reschedule are subject to availability 

Refunds are not available if EssBakes is unable to accommodate the new date due to existing bookings.

 

Term C: Allergens (Wedding Cakes) 

All products are prepared in a nut-free kitchen; however, trace allergens may be present due to supplier handling. 

Cakes contain Eggs, Milk, and Wheat (Gluten). 
 

Clients must notify EssBakes of any allergies or dietary requirements prior to placing an order. 

EssBakes does not cater for allergies and accepts no responsibility for allergic reactions or food sensitivities. Consumption is at the client’s own discretion. 

 

Term D: Delivery & Setup Fees 

Wedding cakes are delivered and set up at the agreed venue. 

Depending on the design and structure, cakes may be pre-stacked or assembled on-site. 

Adequate setup time must be allowed and agreed in advance. 

Delivery and setup fees are charged separately, yet included in the overall quote and quoted based on venue location and arrival time. 

 

Term E: Delivery, Setup & Responsibility 

EssBakes will deliver and set up the cake at the agreed venue and time. 

If access is limited, such as private air bnb venues, a designated contact person must be available on the day to receive the cake, or allow access to the venue.  |
 

Once the cake has been delivered and set up, responsibility for the cake transfers to the client and venue. 

Post-Setup Liability 

EssBakes accepts no responsibility for damage to the cake once setup is complete and the baker has left the venue. 

Cakes must not be moved, repositioned, or altered by venue staff or guests once set up. 

Term E.1: EssBakes is not liable for damage caused by: 
 

Venue staff or guests 

Moving or handling of the cake 

Heat, humidity, weather conditions, or poor storage accidental contact or interference.
If, during set up, another guest or venue representative requests changes to the agreed cake placement or setup
this will not be actioned unless approved by the bride, groom or designated contact person.

No changes will be made on the day unless previously discussed and agreed during the ordering process.
This policy is in place to protect the couple's decisions, privacy and overall setup of the event.

 

Term F: Venue Conditions 

Working closely with seasonal changes is one of the important factors of creating cakes, all cakes during the summer will be kept stable using ganache under buttercream 

The display area must be stable, level, and suitable for the cake’s size and weight. 

Cakes must be kept in a cool, dry environment and away from direct sunlight, heaters, or heat sources. 

 

Term G:  Dowels & Internal Supports 

To support and mobilise all tiered cakes, professional structural knowledge is used.  

Tiered cakes contain dowels and internal supports for structural safety. 

These must be removed before serving. 

Cake smashing is not permitted due to internal supports. 

Clients are responsible for informing venue staff and caterers of the presence of dowels. artificial or edible flowers will be prepared to be food safe, and may have food tape around stems or certain wires for stability, please ensure these are removed before consuming.  

 

Term H: Cake Spacer Hire & Security Deposit 

Where cake spacers, separators, or stands are hired, a refundable security deposit will apply. 

A pre-paid return postage label and return box will be provided to the venue manager on the wedding day. It is the client’s responsibility to ensure: 

The spacer is placed back into the provided box 

The spacer is wiped clean only 

The spacer is not hand-washed or dishwashed 

The spacer is posted back within three days of the wedding date 

The security deposit will be refunded once the spacer has been safely returned and inspected for damage. 

Lost, damaged, or late returns may result in partial or full forfeiture of the deposit.

Term I: Design Changes & Written Communication 

All requests for changes must be made in writing via email or text message. 

Verbal discussions are not considered confirmation. 

Design changes may be requested up to four weeks before the wedding date. 

Changes requested after this time cannot be guaranteed and may incur additional charges. 

Term J: Force Majeure 

EssBakes is not liable for failure or delay due to circumstances beyond reasonable control, including severe weather, illness, accidents, or venue access issues. 

In the rare event EssBakes is unable to fulfil the order, a full refund will be issued. 

 

Term K: Photography & Marketing 

EssBakes reserves the right to photograph and record the cake, and location of set up for portfolio, website, and social media use. 

No personal client details will be shared publicly.
